Key Performance Areas – Grants Coordinator Duties SMU
- Coordinate annual + multi-year grant planning processes across Schools + Departments per institutional priorities + DHET requirements
- Liaise with DHET, Schools, Finance, stakeholders on grant planning, budgeting, proposal development + submissions
- Coordinate preparation, review + consolidation of grant proposals, budgets + supporting documentation for compliance
- Administer approved grant allocations, monitor expenditure vs budgets, identify variances + prepare budget virements
- Monitor grant implementation to ensure compliance with DHET conditions + institutional policies
- Develop + maintain grant databases, tracking systems, reporting schedules + secure repositories
- Coordinate collection + verification of financial + non-financial grant info for statutory + DHET reporting
- Prepare grant reports, summaries, dashboards + analyses to support decision-making + compliance
- Provide secretariat support to grant committees: agendas, minutes, reports, action tracking
- Provide technical guidance + training to staff on grant policies, procedures + DHET updates
- Maintain grant records for governance, audit + accountability purposes
- Track grant deadlines, reporting timelines + compliance milestones for timely execution
- Identify grant risks, compliance gaps + recommend corrective actions
Minimum Requirements – SMU Grants Coordinator 2026
- Qualification: Bachelor’s Degree in Public Admin, Finance, Accounting, Business Admin, Business Management OR Project Management
- Experience: Minimum 5 years relevant experience in grant administration, project coordination, financial management OR research funding in higher education
- Advantage: Certificate in Project Management + experience in HE environment
- Skills: Proven project management: planning, execution, monitoring, reporting of multiple concurrent grants
- Knowledge: Financial administration + reporting, database/grant management systems
- Computer: Advanced MS Office Suite Excel, Word, PowerPoint, Outlook
- License: Valid driver’s licence + willingness to travel for stakeholder engagement
- Availability: Willingness to work outside normal hours for deadlines + committee requirements
